Syncing your Data (Facility)

This article takes you through the steps to sync your data from Facility to your Parents Evening System for the first time, and how to refresh the data that is held on the system when wished.

Setting up Facility integration

Note: This section only needs to be followed if you are setting your system up for the first time or your Facility details have changed. If the integration is already set up please follow the Syncing your data from Facility section below.

The integration with Facility is done via the Facility Connect API. To allow the Facility Connect API to be accessible by third party software you need to specify the IP addresses that the requests will be coming from.
To do this you will need to edit the API.xml file in C:\Facility\ePortal\conf\Catalina\localhost on the server where Facility Connect is installed. Open the file and locate the following section of xml:
<Valve className="org.apache.catalina.valves.RemoteAddrValve" allow="" /> 
To enable the API to send and receive data you will need to change the contents of allow=”” to be a list separated by | of the required IP addresses. Please note you will also need to have set up an SSL certificate in IIS. 
The IP addresses required for our servers are, and Therefore the IP addresses in the allow field should be “|||”.

Once you have set this up please email us your ePortal login URL and we will complete the integration for you and let you know once this has been done.

Syncing your data from Facility

Once the Facility integration has been set up, you can preform a sync from Facility to the Parents Evening System at any time. We would normally recommend you preform a sync when setting up a new evening or event to ensure all your data is up to date. 

You can also run a sync while you have an evening up an running and you would like to update the data on the Parents Evening System. Please be aware that if a teacher or student is removed from Facility, the sync will remove the teacher or student and their associated appointments.

To preform a sync with Facility, please follow the steps below:

  1. From the Administrator Homepage of the Parents Evening System select Data Sync > Run Sync Now.
  2. Once the sync has fully run you should see a message screen showing that the last sync was successful and the date and time of this.
  3. Should the sync fail for any reason please try this again and if you still experience issues, please contact us and we can check the reason for you from our end.

What Now?
