Facility: How to set up Facility integration

This article takes you through the steps to sync data from Facility to your Parents Evening System for the first time, and how to refresh the data that is held on the system when needed.

Setting up Facility integration

Note: This section only needs to be followed if you are setting your system up for the first time or your Facility details have changed. If the integration is already set up please follow the Syncing your data from Facility section below.

The integration with Facility is done via the Facility Connect API and to allow it  to be accessible by our software you need to specify the IP addresses that our data requests will be coming from.
In order to do this you need to edit the API.xml file, found at C:\Facility\ePortal\conf\Catalina\localhost on the server where Facility Connect is installed. 

Open the file and locate the following section of xml:
<Valve className="org.apache.catalina.valves.RemoteAddrValve" allow="" /> 
To enable the API to send and receive data you need to change the contents of allow="" to a list, separated by the | symbol, of the required IP addresses. 

For our purposes you can copy and paste the following: allow="127.0.0.1|109.108.139.77|109.108.139.142|109.108.139.143"

Please note you will also need to have set up an SSL certificate in IIS. The certificate can be self-signed if you wish. If you have any difficulties turning on the API, Advanced Learning advise that you should contact them via your normal support channels. 
Once you have set this up please email us on support@parentseveningsystem.co.uk with your ePortal login URL. We will complete the integration for you and let you know once this has been done. You can then run a sync.

Syncing your data from Facility

Once the Facility integration has been set up as above, you can perform a sync from Facility to the Parents Evening System at any time. We would normally recommend you do this when setting up a new evening/event to ensure all your data is up to date. You can also run a sync while you have a live evening/event open to booking and just need to update data on the Parents Evening System - although please be aware that, if a teacher or student has been removed from Facility, they and their associated appointments will also be removed from the system when you run a sync.

To perform a sync with Facility, please follow these steps:

  1. From the Administrator Homepage of the Parents Evening System select Data Sync > Run Sync Now.
  2. Once the sync has completed you will see a message saying that the sync was successful, check that the date and time of this is the current one.
  3. Should the sync fail for any reason, please try it again. If you still experience issues, please contact us on support@parentseveningsystem.co.uk and we will investigate for you.

What Now?
