Changing the date of an Evening

If you need to re-schedule your evening (or one of the dates within an evening) - for example because of bad weather - you can do so, along with the existing appointments, by following these instructions:

  1. Log in as an administrator to your system, go to the evening you wish to move, then click Configure Evening.
  2. Under Basic Details, change the date - if you have more than one date as part of the evening you can change any or all of them.
  3. You will be asked if you want to create a new evening, rather than move the date and appointments. Click Change Date & Move Appointments.
  4. Now click the Save button on the Configure Evening page. A pop-up will appear confirming the move of the existing appointments and asking if you wish to notify parents of the change.

    If you select Don't Notify, you will need to make sure the parents are aware of the re-scheduled appointments by other means.If you choose Notify Parents, you will be asked which contact method you wish to use (if you utilise any of our text message providers, such as Schoolcomms, they will appear in the pop-up as well).
    You can choose to enter a custom message which will be sent to the parents along with their updated appointment list.

  5. The evening and its appointments have now been moved to the new date.
